Loyalty Program Cost for Small Business: What You Really Pay

Budget guide

How Much Does a Loyalty Program Cost a Small Business?

A small business loyalty program has four costs: the software or printing, the rewards you give away, a little staff time, and signage. Software can be modest. LoyalStamps, for example, is $10/mo or $100/yr after a 7-day free trial. The reward is the cost you control most, through the stamp count and what you give.

Most loyalty pricing pages show you one number: the software fee. That is only part of the picture. A fair budget counts what you hand over in rewards, the minutes your team spends at the counter, and the bits of paper that make it all visible. None of it has to be expensive. Here is how to add it up for your own shop.

The four costs in any loyalty program

  1. Software or paper. A monthly or annual fee for a digital card, or card stock and printing for paper.
  2. Rewards. What each free item or perk costs you to make or deliver.
  3. Staff time. Training once, then a few seconds per customer.
  4. Signage and printing. The QR code, a counter sign, and maybe a sticker on the door.

We will go through each one, then put them in a simple monthly budget.

1. Software fee (or paper costs)

Paper punch cards have no monthly fee. You pay for design, card stock, a stamp or hole punch, and reprints when cards run out, get lost, or your offer changes. The upfront cost is low. The ongoing cost is small but steady, and it is easy to forget.

A digital stamp card app charges a subscription. Before you compare prices, compare what each price includes. Ask any vendor:

  • Is there a setup or onboarding fee?
  • Do I pay per location?
  • Do I need a tablet, a terminal, or other hardware?
  • Does it need to connect to my POS?
  • Are messages to customers included, or charged extra?
  • Is there a free trial, and do I need a card to start it?

LoyalStamps, as one example: Vendor Pro is $10/mo or $100/yr. Paying monthly for a year comes to $120, so the annual plan saves $20. One Vendor Pro plan covers several locations. There is no hardware to buy and no POS integration, because it runs from a printed QR code and the phones or tablets you already own. If you want to see how that works without touching your register, read our guide to a loyalty app without POS. Full plan details are on LoyalStamps pricing.

2. Reward cost: the line you control

Count rewards at cost, not at menu price. A free coffee that sells for $4.50 might cost you a little over a dollar in ingredients and a cup. A free beard trim costs you ten minutes of a barber's time.

A quick way to see what you are giving back:

  1. Multiply your stamp count by what a regular spends per visit. That is roughly what one filled card brings in.
  2. Compare it with the cost of the reward.

Example numbers: a 10-stamp card, a $5 average visit, and a reward that costs you $1.20. You give back $1.20 after about $50 of sales.

To estimate a month, multiply the number of cards you expect people to fill by the cost of one reward. Example numbers: if 20 regulars fill a card in a month and each reward costs you $1.50, that is $30.

Two honest notes. Stamps that never turn into a reward cost you nothing. And some rewards go to people who would have come in anyway. That is part of the deal. You are thanking your regulars, not only chasing new ones.

If the reward line looks too high, you have two levers: the stamp count and the reward itself. Our guide on how many stamps to put on a loyalty card walks through the first. Our loyalty reward ideas page covers the second, with perks that cost little but feel generous.

3. Staff time

Staff time is the cost owners forget, and the one that decides whether a program survives.

  • Training: one short briefing per shift. What earns a stamp, what to say, how to redeem a full card.
  • Each visit: a few seconds to offer the scan.
  • Redemptions: a moment to hand over the reward.

With paper, staff also hunt for cards, stamp by hand, and settle the occasional "I am sure I had six" debate. With LoyalStamps, the customer scans your QR, and Auto-approve plus Autonomous Store Mode keep stamps moving during a rush without staff confirming each one. Our step-by-step guide on how to start a loyalty program includes a five-minute staff briefing you can copy.

4. Signage and printing

Your QR code needs to live where people pay. A home or office printer is enough to start. You might add a counter tent, a sticker by the card reader, and a line on the menu board or door. This is a one-off cost. With paper cards, add the ongoing reprints.

Paper punch cards vs a digital stamp card: cost at a glance

Cost Paper punch cards Digital stamp card (LoyalStamps example)
Software None Vendor Pro: $10/mo or $100/yr, one plan covers several locations
Upfront Card design and printing A printed QR. 7-day free trial, no credit card required
Rewards What each reward costs you Same. The reward cost does not change with the format
Staff time Finding cards, stamping by hand Customer scans the QR; Auto-approve for busy periods
Hardware None None. Phones or tablets you already own
Ongoing printing Reprints when cards run out or offers change Reprint the QR only if it gets damaged
Messaging None, unless you collect contacts yourself Blasts, with a monthly send limit, for customers who use the app

A simple monthly budget you can fill in

  1. Software: $____ a month. (LoyalStamps: $10, or about $8.33 a month on the $100/yr plan.)
  2. Rewards: expected filled cards a month × cost of one reward = $____
  3. Staff time: a few seconds a visit. Usually small, but count it if your team is stretched.
  4. Printing: a one-off $____ for the QR and signs.

Add it up. Then turn it around and ask: how many extra visits a month would cover it? Example numbers: if a typical visit leaves you $3 after costs, about four extra visits a month cover a $10 software fee.

Is a loyalty program worth the cost?

We will not promise you a return, because nobody can know that for your shop in advance. What you can do is test it cheaply. Run the program for 30 days, keep the rules simple, and look at what happened: who joined, who came back to add stamps, and whether anyone filled a card. The mini CRM in LoyalStamps shows who is returning and which offers are working. If the numbers do not justify the cost, stop. That is a fair outcome too.

What LoyalStamps costs, in one paragraph

Vendor Pro is $10/mo or $100/yr after a 7-day free trial, and you do not need a credit card to start. One plan covers several locations. It includes digital stamp cards with multiple reward levels, vouchers, Blasts, and the mini CRM. There is no hardware and no POS integration. Customers join with the free LoyalStamps app or by scanning with any phone camera and entering their email.

Loyalty program cost FAQ

How much does a loyalty program cost a small business?

Add up four things: software or printing, the rewards you give away, staff time, and signage. Paper cards cost little upfront but need reprints. Digital apps charge a fee; LoyalStamps is $10/mo or $100/yr after a 7-day free trial. Rewards are the cost you control most.

How do I work out what my rewards will cost?

Use what the reward costs you to make or deliver, not its menu price. Multiply your stamp count by what a regular spends per visit, compare that with the reward cost, and adjust the stamp count or the reward until you are comfortable.

Is a paper punch card cheaper than a loyalty app?

Upfront, usually yes. Over time, count reprints, lost cards, and the staff time spent stamping and checking cards. A digital stamp card adds a monthly fee but keeps progress on the customer's phone and lets you send offers. Compare both for your own shop.

Do I need to buy hardware or connect my POS?

Not with LoyalStamps. It runs from a printed QR code and the phones or tablets you already have, with no POS integration. Other tools vary, so ask any vendor before you sign up.

Does LoyalStamps charge per location?

One Vendor Pro plan covers several locations, so a second or third site does not mean a second bill. Vendor Pro is $10/mo or $100/yr after a 7-day free trial. If you run many sites, email support@loyalstamps.com to confirm the fit.
